Frequently asked questions
Straight answers about booking a photoshoot in Poland through Kadrova: how requests and proposals work, what moves the price, what happens when it rains, and what you receive afterwards. Where the answer depends on the photographer you book, we say so and tell you what to check in your proposal. If your question is not here, ask it in a request.
Booking & availability
How do I book a photographer through Kadrova?
Send a free availability request with your date, place and type of session, and we check which suitable photographers are free. We reply personally with a proposal naming the photographer, the package and the price. The booking is confirmed only when you accept that proposal.
Is the availability request free and without obligation?
Yes, the request is free and commits you to nothing. It only asks us to check availability and prepare a proposal. You decide afterwards whether to accept it.
What should I include in my request?
Give the date or a range of dates, the city or area, the type of session and how many people will be in the photos. Add anything that changes the plan: a surprise proposal, a preferred time of day, the language you want to speak with the photographer, or a place you have in mind. The more specific the request, the more precise the proposal.
How far ahead should I book a wedding photographer in Poland?
As soon as your date and venue are fixed, because Saturdays from May to September go first. A photographer can cover only one wedding a day, so an early request simply leaves more choice. Couple and family sessions need less notice, though weekend sunset slots in summer also fill up.
Can I book a photoshoot at short notice?
You can always ask, and short-notice sessions are sometimes possible. Whether a photographer is free depends on the date, the place and the time of day, so we cannot promise it in advance. Send a request with your exact date and we will tell you what is available.
Prices & payment
What does the "from" price mean?
It is the lowest price at which that type of session is offered on the platform, for example a classic one-hour session from PLN 750. Each photographer sets their own package and price at or above it. You see the exact figure in your proposal before you commit, and all starting prices are on the pricing page.
What makes a session cost more than the starting price?
The photographer, the place, the date, the time of day and the duration, plus any add-ons. Video, drone footage, an extra hour, a weekend date, a sunrise slot, travel outside the city, an album and a second photographer all raise the price. Everything that is included is listed in the proposal.
Is the photographer's travel included?
Within the city it usually is, while travel outside the city is one of the add-ons that raise the price. That applies, for example, to a wedding venue in the countryside or a portrait session in another town. The travel cost is always written into the proposal.
How much does a photoshoot in Zakopane cost?
Any session in Zakopane starts from PLN 1,050, because mountain locations take longer to reach and to walk. Weddings, wedding portrait sessions and newborn shoots have their own higher floors, for example a wedding portrait session from PLN 1,500. The proposal states the exact figure.
Do I have to pay a deposit?
Payment terms, including any deposit (in Polish, *zadatek*) and its amount, are stated in your proposal. A deposit is common for weddings, because the photographer keeps the whole day free for you. Sending a request costs nothing.
Who issues the invoice?
The photographers are independent professionals and issue their own invoice or bill. The proposal states who invoices and how. If you need a company invoice, for example for a personal branding session, mention it in your request.
Weddings & wedding portraits
What does full-day wedding coverage include?
A full day is usually about 10 hours, from getting ready and the parents’ blessing, through the ceremony and the receiving line, to the first dance and the *oczepiny* games late in the evening, from PLN 8,000. The hours, the end point and the approximate number of photos are in the proposal. More on wedding photography and on hiring a wedding photographer in Kraków.
What is a plener ślubny?
A *plener ślubny* is a wedding portrait session of the couple in their wedding outfits on a separate day, without guests or a timetable, from PLN 1,500. Many Polish couples do it a few days or weeks after the wedding, some before it. Old towns, the Baltic coast and the Tatras are popular, for example wedding portraits in Zakopane.
Can the photographer shoot inside the church or registry office?
Usually yes, but the rules are set by the parish or the registry office, not by the platform. In many churches the priest decides where the photographer may stand and whether flash is allowed, and some parishes ask for the photographer to be notified in advance. Ask the parish office or registry office when you set the date.
Do we need a second photographer?
A second photographer helps when the couple get ready in two different places, or when you want the altar and the guests covered at the same moment. It is an add-on that raises the price, so decide when you send the request. Planning tips are in our wedding photography in Poland guide.
Can we book a photographer for a small civil wedding?
Yes, tell us in the request how long the ceremony lasts and whether there is a meal or a short couple session afterwards. A small wedding usually needs a shorter package than a full day, and the photographer sets the price in the proposal. A short walk with the couple right after the ceremony works well while guests wait to congratulate you.
Families, children & celebrations
What is the best time of day for a family session with toddlers?
When the children are rested and fed, which usually means after a nap rather than before. In summer, late afternoon gives soft light once the heat has passed. You agree the hour with the photographer; more on family photoshoots and our family photography in Poland guide.
When should a newborn session take place?
Many photographers prefer the first two weeks, when babies sleep most deeply and are easiest to settle. A newborn session takes place in your home, lasts about 2.5 hours including feeding breaks and starts from PLN 1,100. Send the request during pregnancy with your due date.
When is the best time for a maternity session?
Most often between weeks 28 and 34, when the bump shows clearly and moving is still comfortable. A maternity photoshoot starts from PLN 800 and can be outdoors or at home. With twins or on medical advice, plan it earlier.
Can a photographer cover a First Communion or christening in church?
Yes, but the parish sets the rules for photography during Mass, and for First Communion it often appoints one photographer for the whole group. Check with the parish office before you book. First Communion and christening photography from PLN 1,200 usually covers the ceremony and a short portrait session.
Do you arrange first-birthday and birthday shoots?
Yes, a birthday photoshoot can take place at home, in a play centre or outdoors, from PLN 750. For a first birthday, plan it after a nap and keep the cake for the end, since little else happens after it. Say in the request how many children and adults will be there.
On the day
What should we wear for the photoshoot?
Plain, muted colours that go together, without big logos or small busy patterns. Comfortable shoes help on old-town cobbles and grass, and on the beach in Sopot or Gdynia wear something easy to slip off. The photographer is happy to advise if you send a few outfit options beforehand.
How long does a session last?
An express session lasts about 30 minutes, a classic one about an hour, and a multi-location session about 2.5 hours. A wedding day is usually about 10 hours and a newborn session about 2.5 hours with breaks. The exact time is in the proposal.
We are not used to posing. Is that a problem?
No, most people are not, and you do not need to be. The photographer tells you where to stand and what to do, and the best frames usually come while you walk, talk or play with the children. The first few minutes are mostly about relaxing.
What happens if we arrive late?
Message or call the photographer as soon as you know. The session usually still ends at the agreed time, since the photographer may have another booking and sunset light will not wait either. Whether the time can be extended, and at what cost, depends on the photographer.
Can we bring our dog?
Yes, mention it in the request so the photographer can plan the place and the pace. It helps to bring a second person to hold the dog between shots and a lead that is easy to remove from the frame later. Some parks and museum grounds restrict animals, so check before the day.
Weather & seasons
What happens if it rains on the day?
In light rain the session often goes ahead, with an umbrella and in covered spots such as gateways, arcades and passages. In a downpour or storm the photographer suggests another date or an indoor place. The rules for rescheduling because of weather are in the proposal.
Who decides whether to postpone because of weather?
You decide together with the photographer, usually based on the forecast the evening before or that morning. The photographer knows the place and can judge whether cloud will spoil the photos or give soft, even light. The proposal sets the terms for moving the date.
Is a winter photoshoot in Poland a good idea?
Yes, especially with snow, in the Tatras or in old towns lit for Christmas. In December the sun sets around 15:30, so sessions happen in the early afternoon and an hour outdoors is usually enough. Warm layers under your outfit and gloves between shots make a real difference.
What is the best season for a photoshoot in Poland?
May, June, September and October give the most soft light and the least heat. July and August suit the Baltic coast, but sessions there are best early in the morning or in the evening, when beaches and promenades are quieter. The Polish golden autumn in city parks is a favourite of its own.
Places
How do we choose a place for the session?
Start with what suits you: an old town, a park, the sea, the mountains or your own home. Our city pages, such as Kraków and Gdańsk, describe specific spots with the best time and how to get there. For a proposal, see where to propose in Poland.
Do we have to pay to shoot in a park, castle or garden?
It depends on the place: some park, castle and museum administrations charge for professional sessions or require permission, others do not. This applies, for example, to castle grounds and museum parks such as Wawel and Łazienki. Check the current rules with the site’s administration; any fee is usually not part of the photographer’s price.
Can we have a session in the Tatra National Park?
The park’s trails are open to visitors, but for a session with larger equipment or for commercial use, check the current rules with the Tatra National Park. Drone flights in national parks are generally not allowed without permission. Photographers who work in Zakopane also know places outside the park, such as the Gubałówka area.
What time is sunset in Poland?
In late June the sun sets around 21:00, a little later on the coast, and in December around 15:30. Sunrise in June comes around 4:30, earlier still in Gdańsk and Lublin, so a summer sunrise session means a very early start. The photographer times the start so that the best light falls in the middle of the session.
Your photos
How many photos will we receive?
It depends on the package: around 40 for a classic one-hour session and around 400 for full-day wedding coverage. The exact or approximate number is in the proposal. If you want more, ask about a longer session.
When will we get our photos?
The delivery time is stated in your proposal. It depends on the photographer and the type of session, since editing a full wedding takes longer than an express shoot. If you need the photos by a certain date, for example for invitations, say so in the request.
Are the photos edited, and do we get RAW files?
Yes, you receive selected, edited photos in high resolution, ready for print and online use. RAW files are usually not handed over, since editing is part of the photographer’s work. If you need them, ask in your request and the proposal will state exactly what you receive.
Can we order an album or prints?
Yes, an album is one of the add-ons, popular with weddings and wedding portrait sessions. Format, number of pages and price depend on the photographer and are listed in the proposal. You can also print from the files yourself.
Can we post the photos on social media?
Yes, the photos are meant for your personal use, which includes social media. For commercial use, such as personal branding photos in advertising, the proposal sets out the licence. Photographers often ask to be credited when you post.
Photographers
How does Kadrova choose its photographers?
Every photographer is reviewed before joining, on their portfolio, experience with the type of session, languages, knowledge of the places they work in and reliability. They are independent professionals, not employees of the platform. Their profiles, with sample work, are on the photographers page.
Can I choose a specific photographer?
Yes, if you like a particular profile, name it in your request. We check whether that person is free on your date, and if not, we suggest someone with a similar style. The proposal always names who will photograph you.
Can I book an English-speaking or Ukrainian-speaking photographer?
Some photographers speak English or Ukrainian, and each one’s languages are shown on their profile. Say in your request which language you need and we will check who speaks it and is free on your date. This matters most at weddings with guests from abroad.
Can we talk to the photographer before booking?
Yes, just say so in your request. A short call before a wedding or a longer session helps agree the plan for the day, the places and the style. Once you accept the proposal, you are in direct contact with the photographer to settle the details.
What if the photographer falls ill before the session?
Let us know and we will try to find another suitable photographer for the same date, though we cannot promise someone will be free. If no replacement is possible, the cancellation terms in your proposal apply. Couple and family sessions are usually easier to move to another date.
Privacy & personal data
What do you do with the data from my request?
We use the data in your request only to handle that request, in line with the GDPR (in Polish, RODO). We share it only with the photographer we match to your session. We do not sell it or pass it to anyone else for marketing.
Can the photographer use my photos in their portfolio?
Only on the terms set out in the proposal, and if you do not want your photos in the photographer’s portfolio or social media, say so in your request. This matters especially for a proposal before you announce the engagement and for sessions with children. The photographer takes your decision into account when agreeing the terms.
How are my children's photos protected?
You receive the photos directly from the photographer, and you decide whether they are published. For newborn and family sessions you can say from the start that the photos must not be shown publicly. The data in your request goes only to the photographer who does the session.
Can I ask you to delete my data?
Yes, under the GDPR you can ask to see, correct or delete your personal data. The simplest way is to write to us through the request form. The data used to handle your request goes no further than the matched photographer.
